CCA Member or Associate,

In the fall of 2021, then Past-President Dr. Rebecca Taylor conducted a series of focus groups with numerous members of the CCA. The intention was to identify strengths and growth areas, and one particular theme (one that we expected) emerged: the CCA's website and member system could have been more user-friendly.

In response to Dr. Taylor's focus groups, in April 2022, the CCA Governing Council approved the purchase of a new website and member management system. Aside from the Fall Conference, this was the CCA's most prominent financial investment in 2022. As with any website migration, the process has been extensive. However, the CCA's large member management system, CCACE trainings, and website created unique challenges.

As we near the launch of our new website, member management system, job board, and CCACE training portal, several systems have begun the transition. Unfortunately, this past week, the CCA became aware of an unexpected glitch in our website migration: our standard email authentication method, or SPF, was adjusted earlier than expected. As a result, the CCA's email system was rendered dormant.

What does this mean? This means all CCA-generated emails for new members, membership renewals, conference registrations, training purchases, etc., ultimately failed once the system attempted to send them.

For many, this has been a frustrating experience, and rightly so. While the CCA is excited to launch our new website, as we believe it will directly empower our members, we are disappointed this occurred. We sincerely apologize and take full responsibility for this error and will make every effort to address any issues caused by this situation.

The CCA's website migration is the most expensive and demanding infrastructure initiative we have ever undertaken. We know that with any significant task, "bumps in the road" are sure to come. However, as any leader will tell you, great effort should be put into minimizing the impact those "bumps" have on your members. Regrettably, I fear this "bump" was felt by many.

In response, three things are happening immediately:

    1. The CCA will begin working through hundreds of emails and respond to those in our inbox within seven days.
    2. One of the emails not delivered by our system was our general new member email, which included initial login information. This prevented many from taking advantage of our Annual Conference's Early Bird rates. As a result, the Early Bird Rates are now extended through March 1st, 2023.
    3. As we began working our way through our emails, we noticed many were regarding usernames and passwords. As such, all CCA members and users were emailed their usernames and passwords on February 2nd, 2023.

If any additional issues arise, don't hesitate to get in touch with us at info@coloradocounselingassociaton.org. We look forward to sharing our new website and member management system with you soon and appreciate your understanding as we consistently work to support professional counselors in Colorado.

Sincerely,

CCA Executive Director
